This will be a dynamic and varied role, covering facilities and office management, OH&S, events and has a focus on finding innovative ways to enhance our office environment. This part-time role is based onsite at our South Melbourne office, and offers the opportunity to make a significant and meaningful impact on the day-to-day operations of a fast-paced and exciting workplace.
Please note, this is a 3 day / week role, with Mondays and Fridays as core days.
This is a great opportunity for someone with a proven track record in delivering exceptional front-of-house experiences or a candidate who has worked in an office experience / events / admin role previously, to work in a dynamic, fast-paced and innovative space and provide first-hand experience and building your career with Australia's pioneers of eCommerce!
In this role you'll be responsible for:

Office Maintenance & Management
- Oversee the upkeep of a safe, clean, healthy, friendly and efficient office environment.
- Front of house first point of contact for all office guest relations.
- Engage with external vendors such as Building Management, Cleaners and Maintenance trades to address any safety and maintenance needs.
- Manage planned and proactive maintenance programs by liaising with suppliers as required.
- Maintenance and running of all breakout areas/kitchen, office and food-related orders, ensuring all facilities are functional and well maintained.
- Waste management and liaising with related suppliers

OH&S
- Lead the OH&S committee, conducting regular safety inspections and managing documentation.
- Coordinate First Aid and Fire Warden training, renewals, and compliance with regulations.

Property Management
- Liaise with property managers to address building issues, repairs, and property-related concerns.

Office Administration
- Work with external cleaners to maintain a hygienic workspace.
- Manage office supply inventories, including weekly grocery orders, kitchen supplies, and coffee machine maintenance

Event Support
- Assist with organising office and department events, including catering, supplier coordination, and technology requirements.

Administrative Support
- Provide ad hoc assistance to the Executive Team.
- Manage visitor and guest relations, ensuring a welcoming experience.
To be successful in this role, you should be:
- A University Degree will be highly regarded, but is not essential
- Experienced working within an Office Administration, Facilities, Concierge, Hospitality, Events or similar positions
- Have a high attention to detail and set professional standards
- Proactive, a logical thinker and always looking for new, better ways of working
- Can-do attitude and keen to take on new responsibilities
- An excellent communicator, with a natural ability to build rapport with people at all levels
- Attentive and friendly with a great eye for detail, with an ability to resolve issues before they arise
- A highly organised multitasker who thrives in a fast-paced environment, effortlessly managing multiple tasks at once while keeping everything on track
- Tech savvy and able to use various IT and cloud-based tools to improve efficiency and productivity
- Ready to challenge, be challenged, and work within our highly disruptive business model
