About the Role
As an Executive Assistant in our team, you’ll play a key role in helping to support the Head of Corporate Finance – Victoria and other senior managers within Corporate Finance in Victoria.
This opportunity will suit someone who has prior Executive Assistant experience, is highly organised and can thrive in a dynamic, fast paced environment. In this position you will provide administrative and operational support, and responsibilities would include, but are not limited to:
- Executive diary management – proactive management of diaries, scheduling internal and external meetings with senior executives, organising travel, and the ability to prioritise commitments along with managing stakeholder expectations.
- Expense management – monthly monitoring of team discretionary spend as well as reconciliation of executive’s monthly expenses, ensuring alignment with the ANZ expense policy.
- Event Management and Marketing – working with team members to arrange major internal and external events and marketing materials, engaging with stakeholders to coordinate insight events and internal training.
- Supporting and coordinating the cadence and operating rhythm of the team; arranging events and catering, property and technology needs; and communicating general updates with the teams as needed.

What will your day look like?
As an Executive Assistant, you are accountable for:
- Diary management inclusive of meetings, appointments, and travel itineraries/logistics.
- Booking and management of flight, transfers, visas, and accommodation bookings, ensuring cost effectiveness.
- Purchasing, invoicing and expenses management as required.
- Assisting with the coordination and logistics of events.
- Helping organise client pitch packs and resources shared by the teams that assist in smoother day-to-day business operations.
- Ensuring key governance meetings are set up.

- Great organisational skills and proven ability to build strong, open and collaborative working relationships with internal and external stakeholders at all levels of the organization.
- A genuine interest in working with team members to co-ordinate and arrange large client events.
- An understanding and appreciation of working in a confidential environment is essential.
- Proven results working with a sense of urgency in a dynamic environment.
- Strong time management skills and ability to prioritise conflicting issues in a professional manner.
- Demonstrated ability to take initiative, be proactive by taking action and be persistent in addressing issues.
- Proficient in Microsoft Office Programs and relevant ANZ systems.
- Knowledge of ANZ expenditure, travel and entertainment, recruitment and accounts payable policies and processes.
