About the role
As our Executive Assistant to the CEO and CFOO, you’ll be the go-to person ensuring our executive leaders can focus on what matters most. From managing schedules and logistics to keeping projects on track, you’ll play a critical role in keeping everything running smoothly and efficiently.
You’ll work closely with the CEO and CFOO as a trusted partner, providing seamless coordination and ensuring priorities are effectively managed. This is a fast-paced and dynamic role, perfect for someone who is proactive, organized, and confident navigating the complexities of working across global time zones. With no two days the same, you’ll anticipate needs and tackle challenges with ease.
What you’ll do day to day
- Calendar Management: Proactively manage complex schedules, balancing high-priority meetings and travel while protecting focus time. Maintain a forward looking approach, and conduct quarterly calendar reviews to optimize efficiency and alignment with priorities.
- Meeting Prep: Support leadership meetings by organizing agendas, pre-reads, and briefing presenters to ensure discussions are well-prepared and high-quality outcomes are achieved. Track action items and follow-ups to ensure commitments are delivered.
- Travel Coordination: Plan and manage domestic and international travel end to end, including all logistics, itineraries and documentation.
- Expense Management: Own the expense process for the CEO and CFOO, ensuring timely and accurate submissions that adhere to company policies.
- Inbox and Task Coordination: Manage the CEO and CFOO’s inbox and tasks, prioritizing key items and maintaining a system to address requests efficiently and effectively.
- Comms: Act as the main contact for internal and external communications, ensuring the right information gets to and from the CEO and CFOO at the right time.
- Operations: Contribute to shaping and managing the company’s operating cadence, from team offsites to board meetings and logistics.
- Stakeholder Engagement: Build strong relationships across the business and with our Board, ensuring the CEO and CFOO are connected to the right people and teams to support decision making and enable success.

- You’ve supported C-suite leaders in a fast-paced, global environment and are skilled at managing competing priorities.
- You have experience coordinating across multiple time zones and managing complex schedules for global teams.
- You’re a natural at staying organized, with sharp attention to detail and the ability to keep things moving.
- You’re proactive and solutions-oriented, anticipating needs and addressing challenges before they arise.
- You’re confident planning travel and managing logistics for executive-level events and offsites.
- You’re great at building relationships, keeping communication open, and collaborating with stakeholders at all levels.
- You’re adept with tools like Google Workspace and Slack, and comfortable creating, refining, and maintaining workflows, spreadsheets, and presentations to support business needs.
